Practice Admin Sign-Up Costs and Fee Schedule

PracticeAdmin primarily provides software-as-a-service. The SAAS model generally involves an up-front charge for setup, and recurring monthly licensing fees. Monthly fees for all PracticeAdmin medical billing and practice management software, except the PCM electronic health records software system, includes unlimited training and support via live chat, email, phone, and an online support ticket system (PCM prices do include training and support, and although it isn’t unlimited, the number of hours provided each month without addition to the regular monthly fee is sufficient to meet the needs of most customers).

Prices vary depending on numbers of providers, claim volumes, and other factors. The prices listed on this page represent the maximum amount new customers may pay for PracticeAdmin software. The information on this page is intended for informational purposes only and should not be construed to be a Price Quote. Practice Management and Medical Billing Software:

One-time Costs:

Enterprise Suite (PA + ARI + GPS): $1500 initial setup and training
PA Practice Manager (PA): $1500 initial setup and training
Accounts Receivable Interactive (ARI): $1500 initial setup and training
Global Paperless System (GPS): $1500 initial setup and training
One-time costs are new customer fees- not fees for purchasing new software. In other words, if you choose to purchase the PA practice management software, and then later decide to upgrade to the Enterprise Suite by purchasing ARI workflow automation software and GPS digital document management software, you won’t have to pay any additional one-time fees when you upgrade because you will have already paid the $1500 one-time fee when you purchased PA. In addition to the one-time cost for initial setup and training, new customers pay money up-front for each provider they will be creating claims for with their new medical billing software. The up-front fees cover new customers’ first 3 months of billing with PracticeAdmin, and the normal monthly license fee listed on each customer’s specifically tailored Price Quote begins in their 4th month with PracticeAdmin.

Transactional Costs:

  • Patient statements $0.57/statement ($0.10/additional page)
  • Pre-collection letters $0.67/letter ($0.10/additional page)
  • $0.37/claim for printing and submitting paper claims through the clearinghouse

PA uses a bulk printing and mailing house, and most PracticeAdmin customers choose to allow the software to send patient statements, pre-collection letters, and paper claims automatically- rather than going through the laborious process of printing and mailing them yourself. Most customers find that automating these tasks not only saves time, but also saves you money when you account for the “hidden costs” of doing it yourself (paper, toner, copier/printer repair and maintenance, etc) in addition to the postage costs. Since you will be charged according to the amount of the printing and mailing service your company actually uses on a per month basis, PracticeAdmin will invoice you for all transaction based costs one month in arrears.

Monthly Costs for a single provider:

  • Enterprise Suite: $390
  • PA: $260
  • ARI: $75
  • GPS: $110

Optional Monthly Costs:

PA: Automatic insurance eligibility verification can be turned on for an additional $50

PracticeAdmin monthly license fees don’t begin until your 4th month using PA billing. Many medical billing software systems charge a per claim fee for submitting claims electronically to payors, but since clearinghouse services are integrated with PA, you can create and submit an unlimited number of electronic claims each month- and PA creates the batches for you! Additionally, PA medical billing software allows you to receive an unlimited number of ERAs as a part of your monthly license fee (ERA= electronic remittance advice. You can think of it like an electronic EOB), and PA saves you time by auto-posting payments based on the information contained in the ERA. Another nice thing about PracticeAdmin’s software-as-a-service model is that your monthly license includes unlimited support, and unlimited software upgrades. In other words whereas traditional, client-hosted software such as Microsoft Windows requires you to purchase a whole new license every time a new version is released (i.e. XP, Vista, etc.), with PracticeAdmin you get the most-up-to-date version of the software each time you sign on.

PA Clinical Manager (PCM):

Startup Costs:

  • $7000/provider, and $500/additional user in licensing fees
  • Includes up to 40 hrs of setup/training (sufficient time for most practices)
  • Additional setup/training may be purchased for $50/hr

Optional Startup Costs:

    • $1500 for Dragon license and $350 for Dragon microphone (for providers who prefer to dictate their notes)
    • $300 per scanning computer (for scanning and attaching documents to charts)

Monthly Costs:

  • $500/provider for ongoing maintenance and support

PracticeAdmin hosts PCM, and delivers it to the practice over the web, but implementation takes place in person because we feel strongly that everyone communicates better when you are talking face to face. One of the best things about a web-delivered EHR is that all you need to access it is an internet connection- there is no need to purchase expensive servers to host the program locally. This also means that since sensitive patient data isn’t stored on your local machines, but on PracticeAdmin’s servers, you greatly reduce your liability associated with data security.

Although statistics suggest that upwards of 30% of new EMR/EHR systems are abandoned within the same year that they were purchased by a practice, PracticeAdmin has a 100% PCM acceptance rate. We believe the reason PCM implementations go so much better than those of other EMR systems is because our software-as-a-service model allows us to constantly adjust the software based on the feedback we receive from the providers. We focus on communicating with the practice to customize the software to the perceived needs of the practice as much as possible prior to going live, and then making constant adjustments based on the feedback we receive from the providers as they become more and more comfortable using the software. Our monthly PCM maintenance fee ensures that we’ll be here to meet you customization, support, and training needs on an ongoing basis- rather than just at the time of implementation.

Prices listed on this page for PCM are based on implementing the full EHR system for a single provider practice, and the actual price to your practice may be significantly lower depending on a number of factors, including the specific functions or modules of the EHR that you want turned on or off.
